Who we are
Ponsonby Social Club, at 152 Ponsonby Road, Auckland, New Zealand (we, us or our), is responsible for the personal information described in this policy. This policy explains how we collect, use, store and disclose personal information through ponsonbysocialclub.com, enquiries, bookings and advertising lead forms, in accordance with the New Zealand Privacy Act 2020.
What information we collect
We collect personal information you choose to provide when you contact us, enquire about our venue, make a booking or complete a lead form. This may include your name, email address, phone number, event or booking details and the contents of your message. Please provide only information relevant to your enquiry.
When you use our website, technical information may also be collected, including your IP address, browser and device details, pages visited, referring website, interactions with our website and approximate location derived from your IP address.
How we collect information
We generally collect information directly from you through our website, email, telephone, social media or booking enquiries. When you submit a Meta lead form on Facebook or Instagram, Meta provides us with the information you submit, including any contact details you choose to share from your profile. We may also receive information from someone making a booking or enquiry on your behalf.
Providing personal information is voluntary. If you do not provide the information needed to respond to an enquiry or arrange a booking, we may be unable to assist you.
Why we use your information
We use personal information to respond to enquiries, follow up on advertising lead forms, organise functions and bookings, communicate about requested services, manage our business, improve our website and services, measure advertising performance and protect our website against misuse.
Where you have agreed to receive marketing, we may send information about our events, offers and venue services. Submitting an enquiry does not by itself subscribe you to unrelated marketing. You can unsubscribe using the link in a marketing message or by contacting [email protected].
Cookies, analytics and advertising
Our website uses Google Tag Manager to manage website tags. We may use Meta Pixel and Google analytics or advertising tags as part of our campaigns. Where enabled, these technologies use cookies, pixels or similar tools to collect information about visits and actions on our website, measure enquiries and advertising results, understand how visitors use the site and show relevant advertising, including to people who have previously visited our website.
Information shared with Meta or Google through these tools may include your IP address, browser and device information, page URLs, cookie or device identifiers and actions such as page views or form submissions. These providers may associate this information with other information they hold, depending on your settings and their policies.
You can manage or delete cookies through your browser settings. Restricting cookies may affect some website functions. You can manage advertising preferences through your Meta account settings and Google My Ad Center. Turning off personalised advertising does not necessarily stop all measurement or prevent you from seeing advertisements.
Read the Meta Privacy Policy and how Google uses information from partner sites. Google privacy information is available at policies.google.com/privacy, and advertising controls at Google My Ad Center.
Where our forms use Google reCAPTCHA, Google processes technical and interaction information to help distinguish genuine visitors from automated abuse. Google’s Privacy Policy and Terms of Service apply to that service.
Who we share information with
Personal information may be accessed by relevant staff and service providers who help us operate the website, manage communications and bookings, or deliver and measure marketing. These may include website and hosting providers, email and IT providers, and our marketing agency. Access is limited to what is needed for the relevant purpose. Advertising platforms process information as described above and under their own privacy policies.
We may also disclose personal information with your authorisation, where necessary for a purpose for which it was collected, or where permitted or required by law.
Overseas storage and processing
Some of our technology, hosting and advertising providers are based overseas or use overseas systems, so personal information may be stored or processed outside New Zealand. Where a provider processes information solely on our behalf, we remain responsible for its handling. Where we disclose information to an overseas recipient for its own use, we will take reasonable steps to meet the applicable requirements of the Privacy Act 2020, including ensuring comparable privacy safeguards or relying on another lawful basis.
Security and retention
We take reasonable steps to protect personal information from loss, misuse, and unauthorised access, alteration or disclosure. No internet transmission or electronic storage system is completely secure.
We retain personal information only for as long as reasonably needed for the purposes for which it was collected, including managing enquiries and bookings, maintaining business records and meeting legal obligations. When it is no longer needed, we take reasonable steps to delete it securely or remove identifying details.
Your rights and how to contact us
Under the Privacy Act 2020, you can request access to personal information we hold about you and ask us to correct it. We may need to verify your identity before responding. If we do not make a requested correction, you can ask us to attach a statement of the correction sought.
For access or correction requests, marketing preferences or privacy concerns, contact our Privacy Officer at [email protected], or write to Privacy Officer, Ponsonby Social Club, 152 Ponsonby Road, Auckland, New Zealand.
If you are unhappy with how we handle a privacy concern, you can contact the New Zealand Office of the Privacy Commissioner at privacy.org.nz.
